Trails to Tarmac Bike Club Constitution and By-Laws
Article I: Name
The name of the club shall be Trails to Tarmac Bike Club.
Article II: Affiliations
The club shall not be affiliated with any other local, state, or national organizations.
Article III: Purpose
The purpose of the Trails to Tarmac Bike Club shall be to support all types of cycling and cyclists by:
Article IV: Membership
Membership shall be open to all current USA students who have an interest in bicycling. Current faculty and staff of USA are also encouraged to join and support the club. Others who are not affiliated with USA are welcome to participate in minimal (non-club funded) activities provided that they abide by the club’s ride and safety guidelines, including usage of an approved helmet on rides. Non-members who choose to bike with the group do so at their own risk and waive all liabilities against the club, the University of South Alabama, and any University of South Alabama affiliates.
Members may join at any time provided that they have completed the paperwork, including a liability waiver and health history, as required of all members of Sport Clubs.
Members assume all risks associated with Sport Club activities.
In order to retain full membership and participate in club-funded activities, a member must have paid all dues to date in full.
Article V: Officers
The club shall have an executive committee consisting of a president, vice-president, secretary, treasurer, and faculty/staff advisor. Other officer positions may be created after a vote by the majority of the membership. Officer terms shall run from January – December (beginning of Spring semester—end of Fall semester). An officer may choose to run again for the same or different position and must be elected by a majority of the membership.
Officers for the upcoming term will be elected during Fall semester. Vacancy of an office at any time may be filled by appointment of the executive committee.
The executive committee may appoint committees for specific events and activities as needed.
President: Shall coordinate and supervise total club program & executive committee meetings
Vice-President: Shall assist president and serve in his/her absence. Shall serve as chairman of select appointed committees.
Secretary: Shall take minutes of all meetings, issue monthly reports, serve general notices, and maintain the Club website.
Treasurer: Shall keep and prepare all club financial records and transactions and make necessary reports.
Article VI: Meetings & Activities
Business meetings shall take place at least once per month. Educational meetings shall take place at least once per month. Other events such as rides, fundraisers, and volunteer opportunities may take place weekly, monthly, or annually as determined.
Executive committee meetings may take place at any time as determined.
Article VII: Dues
Dues shall be collected on a semester basis (Fall & Spring) and shall be paid in full one month after the start of the semester. Members who have not paid dues after this date will not be allowed to participate in any activities that are financially supported by the club, but may continue to participate in non-funded activities throughout the remainder of the semester. Failure to pay dues upon the start of the next semester will result in termination of membership.
The amount of dues will be set each semester by the executive committee.
Article VIII: Dissolution
In the event of club dissolution, any and all funds and assets shall revert back to the original funding source.
Article IX: Amendments
This constitution may be amended in any respect at any regular meeting of the club by an affirmative vote of the majority of club members present, provided it has been presented to all club members in writing at least 30 days in advance.
