South Alabama Sponsored J-1 Extension of Stay

Process and Procedure

Important Notice: This information does not apply to students and scholars whose visa documents are not issued by South Alabama (e.g., ECFMG, etc.).

NOTE: As of August, 2002, the Form IAP-66 was replaced by the Form DS-2019.

If you are a J-1 student or scholar whose DS-2019 will expire within the next three (3) months, you must apply for an extension at least 30 days before the expiration date in Item 3 of your DS-2019. If you are a J-1 student whose DS-2019 will not expire within three (3) months but whose work authorization will expire, you also must apply for an extension of your work authorization at least 30 days before your current work authorization expires. The information below describes the materials that must be submitted to the Office of Enrollment Services in order for you to obtain an extension. You must submit the required materials within the time limits discussed above. Please note that if you are unable to secure your extension before your current DS-2019 expires, you will be subject to termination or mandatory unpaid leave from South Alabama.

SCHOLARS WHOSE DS-2019 FORMS WILL EXPIRE WITHIN THREE (3) MONTHS:

Your department must take the first step by submitting an extension request to the Office of Enrollment Services.

You need to:

1. Check with your departmental administration to determine the internal process for approving an extension at the departmental level.
2. Confirm that the department has submitted an extension request to the Office of Enrollment Services.

After the extension request has been submitted to the Office of Enrollment Services, you will be issued a new DS-2019 Form.

STUDENTS WHOSE DS-2019 FORMS WILL EXPIRE WITHIN THREE (3) MONTHS:

Your department must take the first step by determining that you are eligible for extension in your educational program. You need to check with your departmental administration to determine the internal process for approving an extension at the departmental level.

You need to submit the following to the Office of Enrollment Services at least 30 days before your current DS-2019 expires:

1. Proof of financial support. If South Alabama does not provide full funding, you must provide other documentation of financial support to meet the minimum funding requirements (e.g., bank statements, letters from home employers, letters from external scholarship source, etc.).
2. Photocopy of your most recent I-94 card (front and back), plus those of any dependents.
3. Photocopies of the page(s) from your passport that provide(s) identification information and expiration date, plus those of any dependents here with you. (Include copies of these pages ONLY if your previous passport has expired or been replaced.)

After the items above have been submitted, the Office of Enrollment Services will issue you a new DS-2019.

IMPORTANT EXCEPTION: J-1 students and scholars who are sponsored by South Alabama and whose I-94 cards have a specific expiration date rather than the notation "D/S" must follow special procedures to extend their visa status. If your I-94 card has a specific expiration date, please contact the Office of Enrollment Services for more information about the procedures for extending your visa status.

STUDENTS WHOSE DS-2019 FORMS WILL REMAIN VALID, BUT WHOSE WORK AUTHORIZATION WILL EXPIRE WITHIN THREE (3) MONTHS:

In order to apply for an extension of your work authorization, you must submit the following to the Office of Enrollment Services at least 30 days before your current work authorization expires:

1. Photocopy of your most recent I-94 card (front and back), plus those of any dependents;
2. Photocopies of the page(s) from your passport that provide(s) identification information and expiration date, plus those of any dependents. (Include copies of these pages ONLY if your previous passport has expired or been replaced.)

After the items above have been submitted, the Office of Enrollment Services will process your request for an extension of your work authorization.
