
Objective: This job aid shows how to make a PDF Handout from a PowerPoint presentation for eCollege.
You MUST have Adobe Acrobat PDF Writer software installed on your computer.
Introduction: Putting a Powerpoint into a PDF Handout is very useful especially if you want your students to be able to print a PowerPoint presentation in a handout six slide per page format. This is also more convenient for students because they are able to save paper and printer ink by printing six black and white slides per page versus printing each slide per page.
First make sure the PowerPoint presentation you want to put into the handout format is in black and white to do this follow these steps:
*Note: If your PowerPoint presentation is already in black and white skip to steps on how to save a PowerPoint presentation as a PDF handout with six slides per page.
Step 1: Open PowerPoint Presentation and save it under a different name Click "File" select "Save As" and rename the file (I usually just add bw to the end of the file name to let me know that it is the black and white version), click "save"
Step 2: Once your are back into the PowerPoint, click "View" then select "Master", then select "Slide Master"
Step 3: In the Slide Master screen delete the headers, footers, and all graphics in the slide
Step 4: Click "Format"
Step 5: Select "Background" and click the drop arrow, click on the white box as (If you do not see a white box click on "more colors" and click on the white circle)
Step 6: Click "Apply to All"
Step 7: Click "Format"
Step 8: Select "Slide Color Scheme"
Step 9: Click the "Custom" tab
Step 10: Choose the "Background" box, click the "Change Color" button, select the white box or circle, click "OK"
Step 11: Select the "Text and Lines" box, click the "Change Color" button, select the black box, click "OK"
Step 12: Select the "Title Text" box , click the "Change Color" button, select the black box, click "OK"
Step 13: Change the rest of the options on the page to white, click on each selection, click "Change Color", select white box, click "OK"
Step 14: Click "Apply to All"
Step 15: Go back into the PowerPoint presentation, all of the slides should now have a White background with back text. You are now ready to save the presentation in a PDF six slide per page handout.
Steps on how to save a PowerPoint presentation as a PDF handout with six slides per page. You must have Adobe Acrobat PDF Writer installed on you computer for this to work.
Step 1: Open the PowerPoint presentation
Step 2: Click on "File"
Step 3: Select "Print"
Step 4: Under "Printer Name" change the printer selection to Acrobat PDF Writer
Step 5: Beside "Print What" choose "Handouts"
Step 6: Beside "Slides per Page" choose six
Step 7: Click "OK"
