Admissions Committee Conflict of Interest Declaration
1. Purpose
The purpose of this policy is to ensure that the assessment, recruitment, and matriculation of applicants to the Frederick P. Whiddon College of Medicine are conducted fairly, consistently, and in a manner free from actual or perceived bias.

Full and ad hoc members of the Admissions Committee

4. Policy Guidelines
Admissions Committee members, whether serving in a full or ad hoc capacity, are responsible for disclosing any actual or perceived conflict of interest involving an applicant.
4.1 Committee members with a conflict of interest must recuse themselves from interviewing, reviewing, discussing, ranking, or voting on the applicant.
4.2 Conflicts of interest can arise from relationships that include, but are not limited to:
4.2.1 Family of the Admissions Committee member (genetic or by marriage)
4.2.2 Friends of the Admissions Committee member’s family
4.2.3 People in a business relationship with the Admissions Committee member or their family
4.2.4 Interest in the outcome other than the recruitment of the most qualified applicants
4.2.2 Friends of the Admissions Committee member’s family
4.2.3 People in a business relationship with the Admissions Committee member or their family
4.2.4 Interest in the outcome other than the recruitment of the most qualified applicants
5. Procedures
Members of the Admissions must sign the Admissions Committee Conflict of Interest Declaration
6. Enforcement
When a conflict is identified, appropriate steps will be taken to preserve the integrity, fairness, and confidentiality of the admissions process.
6.1 An Admissions Committee member with a first-degree family member applying to medical school during an application cycle must fully recuse themselves from all admissions activities for that cycle.
6.2 Other actual or perceived conflicts of interest will be reviewed and managed through discussion between the Assistant Dean for Admissions and the Chair of the Admissions Committee, with appropriate recusal measures implemented as needed.
