Chair & Executive Responsibilities
 

 
Responsibilities of Faculty Senate Chair
 
Preside at All Faculty Senate Meetings
  • Preside at the monthly Faculty Senate meetings.
    --Responsible for setting the agenda for monthly FS meetings
    --Responsible for giving the Chair's Report (which should also be posted on the Faculty Senate web site.)
  • Preside at the FS Executive Committee meetings.
    --Responsible for the setting the agenda for FS Executive Committee meetings on the Faculty Senate web site.)

Call Special Meetings of the Senate (as defined in Article II, Section 1, Paragraph 2)

Attend Other Meetings Relating to the Work of the Faculty Senate

  • Member of the Academic Affairs Policy Committee
    [The position of chair of AAP committee alternates between the Chair of Faculty Senate and a representative of the Deans' Council]
  • Member of the Fringe Benefits Committee
  • Member of the University Budget Committee
  • Member of the Faculty Grievance Committee (when convened)
  • Member of the Campaign USA Fundraising Committee
  • Ex-officio member of all University committees
  • Ex-officio member of all standing Senate committees
  • Attend the quarterly meetings of the USA Board of TrusteesAttend the semiannual meetings of the USA Foundation Board of Trustees

Take Action as Necessary to Expedite the Operation of the Faculty Senate

  • Co-ordinate the activities of the standing Senate committees.
  • Present to the University President any changes adopted by the Faculty Senate regarding the Faculty Handbook. This requires a memorandum stating the request and justification for the specific change. The University President will bring the request for change before the USA Board of Trustees for their ratification.
  • Present to the University President any resolutions passed by the Faculty Senate.
  • Appoint a Parliamentarian to assist in conducting the business of the Senate.

Miscellaneous

  • Represent the Faculty Senate at the Winter and Spring commencements.
  • Present at the New Faculty Orientation for Fall semester.

 
Responsibilities of Faculty Senate Chair-Elect
 

General Duties:

  1. Perform all duties of the Chair in the absence or incapacity of the Chair.
  2. Assist the Chair in carrying out the business of the Senate.
  3. Assist the Chair and Secretary in determining the make-up of the new committees.
  4. Edit the Faculty Senate newsletter.

Meetings to Attend:

  • Monthly Senate meetings
  • Monthly Executive Committee meetings
  • Monthly Executive Committee meetings with USA President
  • USA Board of Trustees quarterly meetings

 
Responsibilities of Faculty Senate Secretary
 

General Duties

  1. Assist the Chair in the construction and distribution of the agenda for the monthly senate meetings.
  2. Send monthly email reminders to senate members with meeting agenda. Include a copy of the unapproved minutes as an attachment, if possible.
  3. Make copies of the meeting agenda and the unapproved minutes from previous meeting for members of faculty senate at the regular monthly meetings.
  4. Take minutes of the regular monthly meetings.
  5. Keep track of attendance of the monthly meetings.
  6. Keep track of changes in roster. Notify the Webmaster of any changes.
  7. Send approved minutes to webmaster within a week of the meeting they were approved.
  8. Get year-end reports from committee chairs and sent them to Webmaster at the end of the term.
  9. Keep copies of all records for Faculty Senate office, and eventually for the University Archives.
  10. Assist the Chair and Chair-elect in determining the make-up of the new committees.
  11. Conduct necessary correspondence.

Election Duties

  • Determine the number of senators for each College. Statistics for the number of faculty for each College are available from Institutional Research office.
  • Send letter/email to Caucus Leaders of each College requesting they oversee the elections for new faculty members. The letter should include the number of senators to be elected, the names of the senators that will be going off the senate, and the terms that need to be filled. The letters should be sent out before the March meeting. Elections should be completed by the first of April.
  • Get election results from the Caucus Leaders. Find the email addresses for the new senators, if not provided by the Caucus Leaders.
  • Send out welcome messages to the new senators, outlining basic information that they should know, including an invitation to attend their first meeting in April.
  • Request from all senators, both new and returning, the names of two committees on which they would be interested in serving.
  • Assist in the determination of the proposed slate of candidate for next term.

Responsibilities of Faculty Senate Committee Chairs
 

General Duties

  1. Serve on the Executive Committee of the Faculty Senate as a representative of their committee.
  2. Assist the Officers of the Faculty Senate in determining the membership of committees.
  3. Call the meetings of their committees.
  4. Determine the agenda for their committee meetings.
  5. Keep minutes or summary of the activities of the meetings, to be presented to the Senate at its monthly meetings and posted on the Faculty Senate committee web page.
  6. Write a year-end report outlining the accomplishments and activities of their committee to be presented at the April meeting and posted on the Faculty Senate committee web page.

  • University Planning and Development Committee Chair
    Also serves on the Space and Facilities Committee
  • University Policies and Faculty Handbook Committee Chair

  • Environmental Quality Committee Chair
    Also serves on the Safety and Environmental Compliance Committee
  • Technology Utilization Committee Chair
    Also serves on the Academic Computing Committee

Faculty Senate Meetings to Attend

  • Monthly Senate meetings

Responsibilities of Faculty Senate Caucus Leaders
 

General Duties:

  1. Report to the Faculty Senate the relevant activities within their respective colleges
  2. Serve as a conduit between the Faculty Senate and the Deans of their respective colleges and their departmental chairs
  3. Conduct the elections for new faculty senate members in their colleges.

Election Duties

  • Around the middle of March, the Caucus Leader should receive from the Faculty Senate Secretary the list of positions and terms to be filled.
  • Send an announcement to all full-time faculty members of the respective college that elections will be taking place and request nominations.
  • Compile a slate of candidates from the nominations and distribute ballots to all full-time faculty members.
  • Accumulate all ballots and tally the votes.
  • Notify the Faculty Senate Secretary the names and terms of the newly elected senators.
  • Notify all candidates, individually, as well as the rest of the faculty members in the college, the results of the election.
