Before you sign a publication agreement or similar copyright transfer agreement, make sure the agreement allows the final published manuscript to be submitted to the National Institutes of Health (NIH) in accordance with the Public Access Policy.  
  • Submit this letter with your manuscript alerting the publisher to the fact that the manuscript is subject to the NIH policy and the University of South Alabama expects them to comply with the policy.

  • There is also suggested wording produced by NIH that you can add to a publisher’s agreement to ensure that you can fulfill the NIH policy. It states:

    “The journal acknowledges that the author retains the right to provide a copy of the final manuscript to NIH upon acceptance by the journal for publication, for public archiving in PubMed Central (PMC) as soon as possible but no later than 12 months after publication by the journal.”
     
  • The SHERPA/RoMEO web site provides a summary of permissions that are normally given as part of each publisher's copyright transfer agreement. http://www.sherpa.ac.uk/romeo.php

  • If a publisher refuses to add the above suggested language to their agreement please contact Ashley W. Turbeville, Director, Health Systems Grants Administration and Development. Ms. Turbeville will work with the publisher and the University Attorney to alleviate any potential conflict of contract language.

  •  
       
    DO NOT SIGN THE AGREEMENT if it does not allow the final published manuscript to be submitted to NIH in accordance with the Public Access Policy.
