New Employee Benefit Orientation Enrollment Procedures

Benefit Enrollment is completed online via Employee Navigator. Payroll forms are completed via PAWS, and other required forms are available as an electronic PDF. Carefully review this page to make sure you have completed all required forms.

Online Benefits Enrollment Portal 

Welcome to your benefit enrollment portal, Employee Navigator!  All new employees are required to register as a user in Employee Navigator to complete benefit enrollment, verify dependent demographics, to enroll in SouthFlex (flexible spending accounts), and make beneficiary designations for life insurance. 

Follow the steps below to register and then login to complete your enrollment. 

1. Go to the registration site: https://www.employeenavigator.com/benefits/Account/Register 
2. Complete the New User Registration information.  Your information MUST MATCH what is in Employee Navigator. Do not enter dashes or slashes with your date of birth.  Your date of birth should be entered as MMDDYYYY.  You will also enter the last 4 digits of your social security number. If you have trouble registering, reach out to HR for assistance. 
3. The Company ID is USAJAGS 
4. Follow the on screen instructions to create a unique Username and Password. 
5. You must agree to the “Terms of Use” to register 
6. You’re in! Don’t forget your Username and Password! 

7. Click on New Hire Enrollment!
8. To log-in again, just return to: https://www.employeenavigator.com/benefits/Account/Login

Below is a list of forms classified by category. Please carefully review each category and complete the applicable form, sign and date and then submit to Human Resources. An electronic signature is acceptable, however for the electronic signature to be visible on each document you must download the form, complete, sign and date, save and then submit as an attachment to employeebenefitshr@southalabama.edu.   

For the protection of your personal information, you must transmit all completed forms from your southalabama.edu email address to the email address, provided above. If you are transmitting the completed forms from a personal email address please password protect the attachment and advise HR of the password.

By using an electronic signature, you are agreeing that your electronic signature is the legal equivalent of your manual signature.

E-Disclosure Statement

You must complete the USA Choice and USA Select Plans E-Disclosure Statement. Click on the title to access the form.

Our intention, if you consent, is to provide you access to these documents electronically via this web link https://www.southalabama.edu/departments/financialaffairs/hr/e-disclosure.html. The documents are available here as PDF documents. You will need a smartphone, tablet or computer that can open PDF documents, in order to review these documents. Your smartphone, tablet or computer will need PDF reader software, such as Adobe Acrobat Reader, to open and read the documents. You will also be able to download the documents for saving and printing at your convenience.

Retirement forms:
Teachers’ Retirement System (TRS): https://www.rsa-al.gov/uploads/files/RSA_DBPR_Designation_of_Beneficiary_PTR.pdf This form is required. TRS does not require an enrollment form, however this form is used to  designate your beneficiary(ries) prior to retirement. The form must be notarized and mailed directly to TRS using the mailing address listed on top of the form.
Optional Retirement plans: For information regarding the available plans and to complete an online enrollment, please click here. Once you have selected the plan (403b and/or 457b) please contact your Employee Benefits department at employeebenefitshr@southalabama.edu to request a salary reduction agreement for payroll deductions to begin.
Other forms: You will receive a packet in the mail that will contain general information about your employee benefits. The materials included in the packet are yours to keep and will include hard copies of policies and procedures. The Other Forms Receipt documents the receipt of and your acknowledgement to review these policies.
